How to use the PPAP checklist
- Choose the submission level your customer requested (level 3 if nothing is specified).
- For each element set the status, owner and due date. Mark elements that do not apply (for example DFMEA for a build-to-print part) as not applicable.
- The column “Req.” shows S (submit), R (retain) or * (customer decides) for the chosen level.
- Fill in the Part Submission Warrant. If a result does not meet the requirements, explain it in the comments and agree an interim approval.
- Download the PDF with the checklist and the PSW for your submission package.
The 18 elements follow the AIAG PPAP manual, 4th edition. For the German automotive industry, the VDA 2 PPF (production process and product approval) is the equivalent; many items are the same.
Frequently asked questions
›What are the PPAP submission levels?
Level 1: PSW only (plus appearance approval if applicable). Level 2: PSW with samples and limited supporting data. Level 3: PSW with samples and complete supporting data; this is the default. Level 4: PSW and other requirements defined by the customer. Level 5: PSW with samples and complete data reviewed at the supplier manufacturing site.
›What is the difference between submit and retain?
“Submit” means the document is sent to the customer and kept by you. “Retain” means you keep it at your site and make it available when the customer asks. All 18 elements must exist for every level; the level only decides what is sent.
›When is a new PPAP required?
For a new part, an engineering change, new or moved tooling, a change of sub-supplier or material, a process change, production at an additional location and after tooling has been inactive for a year, unless the customer waives it.
